A large construction department.

Objective

The old site was just a list of links (see before pic) – some duplicated – with no pictures or differentiation of the different types of projects documents and thus, the onus was on staff to know which was which. The Project Staff were in the field most of the day, popping into the office to do the paperwork and making a lot of errors.

The intranet site needed a complete overhaul to make it so that staff could click and access ONLY the documents they needed, NOT the whole department documents when preparing tenders and project contracts. The site also had to comply with strict IT department guidelines and software constraints.

Result

The Home page portal had clear pictures for the 3 different types of Projects and a section with documents that were universal, and they were in clear categories as well – finance, admin etc.

Each type of project had photos of prior completed work to visually depict the category and all links were updated and put in order of the tender and contract process, to minimise errors and maximise productivity.

The actual document content was also updated and a Style Guide was created to ensure consistency was followed in future. A matrix of all Australian Standards relevant to each area and their tender values was created.

Staff from high value and lower cost projects then could visually see the categories of what the others were working on and this minimised the rivalry and dissent in the department and increased rapport – realising that lower cost projects were also quite involved but followed similar process and vice versa.
